USEFUL NOTES

Outline a communications plan the company could use to make the strategies you recommend above known to all stakeholders.

Introduction

Many companies have a “communications plan” that is more of a wish list. It’s important to have something in place, but it doesn’t really matter when most people don’t read it or know about it. To make sure your communications strategy is used effectively and efficiently, you’ll want to write down how you want things communicated and the specifics of who will do what according to the plan. Write down at least one goal per chapter:

Goals

  • The goals of the communications plan

  • The goals of the organization

  • The goals of each stakeholder group (e.g., internal, external)

Objectives

A communications plan can help your company communicate the following:

  • The company’s goals and plans for the future.

  • How you will reach them, if applicable.

  • Who you are and what you do, including information about your employees or products/services provided by them (if any).

Audience/stakeholders

The most important audience for your communications plan is the customers. You should include them in every step of the planning process, just as you would with any other stakeholder:

  • Write a list of all potential audiences (customers, employees and suppliers) that can be affected by what you’re doing or saying. This will help you determine which stakeholders are relevant to your decisions about how/when/where to communicate with them.

  • Consider who actually owns these audiences if they’re not yours (e.g., members of an employee group). If so, make sure they’re represented on your team!

Approach/tone

The tone of voice is one of the most important aspects of communication. It’s also one that can be easily overlooked, especially if you’re not used to communicating in a professional manner. In this section, we’ll cover some key points about how to approach and write your emails or other messages so that they seem more formal and authoritative than they actually are (or less business-like).

The tone of language should be formal and concise; never use slang or colloquialisms when writing email. Short sentences are preferable over long ones because it makes reading easier—and also helps prevent misunderstandings between sender/recipient through lack of context (especially on mobile devices). Try using an appropriate spelling pattern as well: avoid contractions like “you know,” but keep contractions such as “you understand.”

Visual design may seem like an afterthought at first glance but it can have a huge impact on how people perceive you through your emails! Consider whether there is enough contrast between colors used across all content types: if there isn’t enough contrast then users may struggle with understanding what’s going on visually due to distractions caused by distracting colors being compared against each other throughout different sections/paragraphs within an email message itself..

Key messages

  • What is the message?

  • Who is your target audience?

  • What is the tone of your communications plan, and how will we know if it’s working?

Budget and resources

  • Budget and resources are available.

  • Resources will be used wisely.

  • Budget and resources are appropriate for the task at hand, as long as it is understood that there will be some additional costs incurred due to increased travel expenses, etc.

Evaluation

Evaluation

After you finish making the communications plan, it’s time to evaluate how well it worked. This may seem like an obvious step, but if you don’t do this step at all or give it low priority because your job is so busy that there isn’t much time left over for anything else, then your evaluation will be incomplete.

When evaluating the effectiveness of your communications plan:

  • How can I improve? What are some possible improvements that could make my strategy stronger? What should I change in order to make those changes happen?

  • Who needs to know about this new strategy and what do they need to know about its purpose/intentions/goals (and why)? Who wants to know about this new strategy and why do they need to know about its purpose/intentions/goals (and why)?

  • Are there any people who aren’t on board with this new strategy yet but might be interested in joining us once we’ve explained what we’re doing here today — which means getting them involved early on before everyone else hears about our plans too soon!

We need to let everyone who might be affected know what is going on and that they are listened to.

We need to let everyone who might be affected know what is going on and that they are listened to.

We need to give them an opportunity to be heard. We will do this by making sure everyone knows what is going on, both verbally and in writing, so that people can understand how their input matters and how we plan on responding.

Conclusion

This is a great opportunity to grow your business and make an impact on others. It will be exciting to see how things change when we start communicating more effectively!
